ORGANIZATIONAL STRUCTURE

The organizational structure and leadership of the Maryland Academy of PAs (MdAPA) relies on our dedicated board members to fulfill the roles integral to our organization. MdAPA's Board of Directors (BOD) is comprised of a six-member executive board, four directors at large, three regional directors, and one student representative. 

The BOD ensures the routine functioning of MdAPA by establishing its policies and procedures,  operational goals and objectives, and the overall strategic planning.  All members of the BOD are voting members of MdAPA, and must have active memberships with our organization and the American Academy of Physician Associates (AAPA)

ROLES & RESPONSIBILITIES

MdAPA leadership is dependent on the skills and experience of our members who volunteer to hold these positions. Listed below are the core responsibilities and attendance requirements for our Board of Directors.

EXECUTIVE BOARD

The Executive Board is comprised of six officers: President, President-Elect, Immediate Past President, Vice President, Secretary, and Treasurer.  The current president shall serve as Chair for the Board of Directors, based on the parliamentary authority adopted by MdAPA. 

In addition to the core responsibilities listed below, all executive board members must meet committee and attendance requirements outlined in our bylaws.

PRESIDENT

CORE RESPONSIBILITIES:

      • Preside over all MdAPA business and BOD meetings 
      • Coordinate agendas for all BOD meetings
      • Represent MdAPA to outside organizations and media outlets
      • Appoint all standing committees and designate their chairs, in consultation with the BOD
      • Serve as chair of the ad hoc Financial Advisory Committee 
      • Serve as BOD advisor to assigned committees


TERM LENGTH: 1 YEAR

PRESIDENT-ELECT

CORE RESPONSIBILITIES:

  • Succeed to the office of President (at the expiration of the President's term or for reasons outlined in MdAPA bylaws)
  • Write at least one article for an edition of the MdAPA newsletter
  • Recruitment of MdAPA leadership 
  • Serve as chair of the ad hoc Leadership Development Committee


TERM LENGTH: 1 YEAR

IMMEDIATE PAST PRESIDENT

CORE RESPONSIBILITIES:

    • Identify, recruit, & cultivate volunteer leadership
    • Submit a written quarterly report two weeks prior to each BOD meeting
    • Run for AAPA HOD Chief Delegate for Maryland 
    • Serve as MdAPA Medical Organization Liaison to promote MdAPA 
    • Mentor President and President-Elect 
    • Serve as chair of the Corporate Sponsor Committee 

TERM LENGTH: 1 YEAR

VICE PRESIDENT

CORE RESPONSIBILITIES:

    • Ensure compliance with parliamentary procedures and act as Sergeant at Arms 
    • Organize & conduct all annual elections 
    • Write at least one article for each edition of the MdAPA newsletter
    • Coordinate efforts between the BOD & participating PA programs
    • Serve as chair of the ad hoc Recognition Committee 
    • Serve as chair of the ad hoc Elections Committee





TERM LENGTH: 1 YEAR

  SECRETARY

CORE RESPONSIBILITIES:

  • Ensure all organizational records are accurate and maintained 
  • Document minutes of all MdAPA meetings
  • Lead communications on behalf of MdAPA to outside organizations: AAPA, Maryland Board of Physicians, The Maryland State Medical Society (MedChi), MdAPA members
  • Attest the signature of the officers of the Academy 
  • Affix the corporate seal on all documents 




TERM LENGTH: 2 YEARS

TREASURER

CORE RESPONSIBILITIES:

  • Direct the fiscal policies of the organization 
  • Prepare annual budget 
  • Maintain accurate financial records for MdAPA 
  • Deposit all money & pay bills on behalf of MdAPA, with approval of the BOD 
  • Develop detailed report of fiscal accounts and contacts in anticipation for transition of power
  • Collaborate with the Corporate Sponsorship Committee (Immediate Past President), to attain additional MdAPA revenue 
  • Submit monthly, quarterly, and annual financial reports to the BOD
  • Serve and advise ad hoc Financial Advisory Committee


TERM LENGTH: 2 YEARS

ATTENDENCE RESPONSIBILITIES:

                                • Miss no more than one BOD meeting
                                • Attend and facilitate all committee meetings 
                                • Attend annual Strategic Planning meeting 
                                • Additional attendance requirements for President are listed in our bylaws*


DIRECTORS AT LARGE

Directors at Large are elected officials who serve on MdAPA's Board of Directors, and are voting officials.  Directors at Large are committee chairs, and lead our key, standing committees: 

                                      • Legislative Affairs
                                      • Membership Affairs
                                      • Public Affairs
                                      • Continuing Medical Education (CME)

As committee chairs, Directors at large are responsible for the development and implementation of organizational plans and budgets for their respective committee. In addition, committee chairs lead, provide oversight, and recruit volunteers for their respective committees. For further details on our expectations for our Directors at Large, read below.

The committees represented by our Directors at Large are subject to change, and determined by the current executive board. 

DIRECTOR OF LEGISLATIVE AFFAIRS

CORE RESPONSIBILITIES:

  • Act as a liaison between state & federal legislature and the Maryland Board of Physicians 
  • Develop new legislation, with the Board of Directors, for PAs
  • Collaborate with lobbyists and legal counsel 
  • Submit quarterly reports 
  • Write at least two articles for each MdAPA newsletter
  • Update MdAPA membership with written communication and garner support while advocating important legislation 
  • Make policy recommendations to BOD





TERM LENGTH: 2 YEARS

DIRECTOR OF CONTINUING MEDICAL EDUCATION (CME)

CORE RESPONSIBILITIES:

  • Coordinate all CME conferences for MdAPA
  • Collaborate with the Corporate Sponsor Committee (Immediate Past President) to organize sponsored events at CME conferences 
  • Determine location of future conferences 
  • Develop & coordinate CME speakers' list 
  • Develop or approve confeence brochure/flyer 
  • Submit CME approval to AAPA prior to conference 
  • Submit conference, promotional materials and summaries to the MdAPA newsletter 
  • Serve on the Corporate Sponsor Committee




TERM LENGTH: 2 YEARS

DIRECTOR OF PUBLIC AFFAIRS

CORE RESPONSIBILITIES:

  • Develop programs to advance the PA profession within the state 
  • Act as a liaison between the BOD and media
  • Send out public service announcements and press releases 
  • Submit written quarterly reports 
  • Coordinate & supervise PA Day activities within the state of Maryland 
  • Submit at least two articles on Public Education topics or a summary of the Public Education Committee activities to the MdAPA newsletter
  • Prepare annual budget for Public Affairs Committee, based on expenses from the previous year



TERM LENGTH: 2 YEARS

DIRECTOR OF MEMBERSHIP AFFAIRS

CORE RESPONSIBILITIES:

  • Host annual membership drive to increase MdAPA membership 
  • Recruit & retain members 
  • Develop & implement plans to increase MdAPA membership 
  • Act as an ombudsman for members 
  • Respond to membership correspondence within 24 hours
  • Submit at least two articles for the MdAPA newsletter 
  • Submit quarterly membership reports 
  • Maintain accurate records for membership roster in conjunction with Management 
  • Coordinate maintenance of MdAPA membership database 
  • Update the membership brochure 


TERM LENGTH:  2 YEARS

ATTENDENCE RESPONSIBILITIES:

                                  • Miss no more than one BOD meeting
                                  • Attend and facilitate all committee meetings 
                                  • Attend annual Strategic Planning meeting 


REGIONAL DIRECTORS 

Regional directors maintain open communication between general MdAPA members within their region, and MdAPA's BOD. Through their efforts, MdAPA is able to garner a closer relationship with its membership throughout the state of Maryland and advocate for all.

CORE RESPONSIBILITIES FOR EACH REGIONAL DIRECTOR:

                            • Coordinate outreach events for assigned region
                            • Host at least 1 regional event 
                            • Liaison for MdAPA and PAs in assigned region 
                            • Communicate state level issues affecting the PA profession with local PA community 
                            • Communicate local issues affecting PA practice with MdAPA 
                            • Recruit and mentor new leaders 
                            • Submit a summary report of all activities for each BOD meeting 
                            • Keep all confidences regarding Board of Directors procedures and meetings

TERM LENGTH: 2 YEARS

ATTENDENCE RESPONSIBILITIES:

                                • Miss no more than 25% of BOD meetings
                                • Attend and facilitate respective regional meetings
